Policy

Thank you for choosimg Crafted 1972 George Mason University, where we're dedicated to providing with a remarkable experience filled with exceptional quality, stellar service, and innovative culinary delights. Our team of professionals is here to support you every step of the way in planning your special event. We are available Monday through Friday from 8:30am to 5:00pm. Planning Your Event 

To ensure that your event is everything you envision and more, we kindly request that you book at least five business days in advance. However, we understand that sometimes plans change unexpectedly. Please see our Express menu for events that have a short lead time and we'll do our best to accommodate your needs.

Custom Menus

For a truly customized experience, such as custom menus and themes, we kindly request a 10-business day notice to allow for thoughtful menu planning and sourcing of the freshest ingredients.

Guest Counts

Please Provide us with the menu (including dietary requests), timing, and location in writing at three business days before your event to ensure a seamless experience for all attendees. This number is considered the guaranteed guest count. If you have selected a plated meal option with personalized guest selections, we will request a seating chart, along with menu cards indicating the entree preference. Please provide us with the final guest count three business days before your event.

Event Timing

Our structure is based on four-hour increments, allowing ample time for setup, service, and cleanup. Events exceeding this timeframe may be subject to additional service fees. We allocate a 90-minute service time for meals and receptions. Should your event require more time, please consult with our catering team for further assistance.

Meeting Room and Equipment

For all non-food-related needs, please contact the Reservations Department at 703-993-2853 to coordinate room reservations, chair and table needs, setup of tables, chairs, etc, audiovisual equipment, and other requirements. This may vary based on campus location. Please ensure the event space to be available for set up at least 2.5 hours before and 2 hours after the event. 3 hours for a plated meal service.

Billing & Payment

To streamline the process, we kindly request payment information in the form of University Funds, State Accounts or credit card be provided at time of booking. Credit card payments are subject to 2.5% fee. A final invoice and survey will be sent within two business after the event. Checks may be accepted for the full event amount and paid 7 days in advance of event with a credit card on file for any remaining balances. Off-campus partners or events require a 75% deposit at booking, with balance due seven buisness days prior to the event. A credit card must be kept on file for nay additional charges.

Tax Exempt 

Please remember to provide tax-exempt forms to our office three business days before your event to ensure smooth processing. A 6% tax will be applied to all non-exempt events. A 6% sales tax = 5% county tax will be applied to all non-exempt events that take place in Arlington Virgina.

Minimum and Fees

All order are required to meet a food and beverage minimum of $100 on campus: For events that generate less than the minimum, the minimum will remain applicable. University affliated groups are subject to a service fee charge: Fairfax $35.00, Arlington $75.00, Prince William $75. Non-University groups are subject to a 18% service fee.

Alcohol Policy

Alcoholic beverages must be served by our associates and consumed in contracted areas.

Crafted 1972 Equipment

At times our delieverd menus may include equipment such as a coffee, platters or china. Pikcup of equipment will be at the contracted and time of the event. During this time, all equipment, linen and decor are the responsibility of the event planner and returned to catering upon the agreed pick-up time.

Food Safety

Food and beverages may not be removed for the site of the event. Crafted 1972 will not provide to go boxes. Crafted 1972 will not cater events with another vendor's service or products.

Serviceware and China

For your convenience, compastable serviceware is provided with all orders to accommodate the guaranteed guest count and menu quantity. Should you desire china and glassware, the catering team will gladly provide a quote. Quotes may be adjusted close to the date of the event due to shipping costs. All china and linen rentals must be finalized and confirmed five business days prior to the event. Additional charges for any shipping costs/fees incurred due to lost and damaged equipment will be applied after the event.

Linen and Centerpieces/Floral

We are pleased to provide white and beverage sevices tables at your event. If ou need additional or specialty tablecloths for non-food tables, we can arrange those for an additional fee.

While centerpieces and floral arrangements are typically handled by the event planner, we are more than happy to coordinate with local vendors to help you with these details upon request. Please note that additional fees may apply.

To ensure everything is beautifully set up, we kindly ask that linen and floral arrangements arrive three hours prior to the start of service.

Deposits for Office Campus Groups

For groups that do not have a State Account or Foundation Account number and are not directly affiliated with GMU we will require a payment at the time of booking. The remaining balance is due seven business days prior to the event. A credit card must be kept on file for any additional charges that may be added during the event.

Cancellation Policy

While we hope that cancellations won't be necessary, we understand that cicumstances may arise. We kindly ask for cancellations be made in writing at least five business days prior to the contracted event date to avoid any charges. Cancellations within four business days incur a 50% fee; within 72 hours 100% of the event price applies. If the campus closes due to inclement weather, catering will cancel all orders and do their best to notify event planners 48-72 hoursin advance.
